Organization Settings

Organization management and settings (for admins).

Last updated: 2026-11-02

“Organization settings” is the screen for managing your organization. Only admins can open it. On desktop, open it from the menu on your own icon at the bottom left, or from “Organization settings” under “More” → “Other features”; on mobile, open it from “Organization settings” in the menu (≡) at the top left.

The list on the left (at the top of the screen on mobile) has 8 items: General, Members, Plan and billing, Usage, Integrations, Outbound access, Meeting notes bot, Network. The contents of the item you pick show in a single column. In the Addness app on smartphones, “Plan and billing” doesn’t appear in the list.

Above the list are the “Personal” / “Organization” switch and “Search.”

  • “Personal” / “Organization” — Pick “Personal” to move to My Settings, or “Organization” to move to Organization settings. This switch is shown only to admins
  • “Search” — Type a word to search item names and the settings inside each item

You can change the organization name, logo, and time zone.

“Organization data” contains “Chat History” and “Show in-app ads.” From “Open Chat History,” you can export the organization’s DM and group conversation history as CSV, one conversation at a time. In “Show in-app ads,” you can set whether announcement ads appear on Home for the whole organization.

“Irreversible actions” at the end contains “Transfer organization ownership,” to pass ownership to another member, and “Delete Organization.” The notes on deleting are in Deleting an organization.

Check the number of members, seats, guests (free), and external members, and invite members from “Invite.” Switch between “Admin,” “Member,” and “Guest” via “Role” in the members table, and remove a member with “Remove” on their row. An external member can be switched to a regular member with “Make a regular member” on their row.
You can also review “Membership request”s from guests, and the usage count, expiry, and active state of “Invite links.” Guests and external members don’t count toward seats. See Permissions and member management for details.

This item handles the organization’s subscription. Checking the subscription details, changing plans, invoices and receipts, and canceling can be handled from the place where you subscribed. The steps are shown on the subscription screen.
Check how plans work and who counts toward seats in Plans and billing.

Check your remaining AI balance and next grant, AI usage by period, and storage. From “View details by member,” you can also check each member’s AI usage.

In “Slack,” use “Add” to connect your organization’s Slack workspace. To use Slack notifications, an organization admin first connects the workspace here. After that, each member sets up Slack notifications in “Delivery channels” under My Settings › Notifications.

“API Keys” under “For developers” are keys for calling the Addness API from a CLI or your own tools. The steps for connecting Claude Code or Codex are in the MCP integration guide.

You don’t need to create an API key yourself to connect an AI. When you connect an AI to Addness, Addness creates a connection key automatically and lists it as “Auto-generated (AI connection)”. If you revoke this key, the AI connected with it (Claude Code, Codex, CLI) stops working, and you need to connect it again.

To create an API key

  1. Press “Create”
  2. Enter a name and an expiration (30 days, 90 days, 365 days, or no expiration), then press “Create”. In organizations where a “Type” field appears, choose “API key”
  3. The key is shown only once, when you create it. Copy it right away
  • Manually issued keys are limited to 50 per person across all organizations
  • “Update” in the list replaces your own key with a new one. The current key keeps working until its current expiration or 7 days later, whichever comes first
  • Tools that use a revoked key stop immediately. This can’t be undone
  • The “Integration API key” type is a key that lets an external system read the organization’s members and their ToDos (→ External integration API (read-only))

This item is where you manage the ways data leaves the organization.

  • “Links shared outside the organization” — The “Members can create public links” switch controls whether members can create new public links for recordings, mind maps, knowledge, templates, goals, forms, and file deliveries. When you turn it off, new links can no longer be created and all links that are currently public are closed. Turning it back on does not restore the closed links. Even after closing, a recording that is already open keeps playing for up to 5 minutes. File deliveries that were already sent are not closed when you turn this switch off
  • List of public links — Public links are listed with their type, name, who created them, and the date. “Close” on a row closes only that link. File deliveries are listed separately, with the file name, sender, sent date, and expiration. The sender disables a file delivery from their own AI
  • “AI and external system connections” — The “Members can connect their own AI” switch controls the permission for Claude Code, ChatGPT, Codex, and others to connect over MCP. When you turn it off, no new connections can be made. AI that are already connected stay connected
  • List of AI connections — Connected AI are listed, and “Revoke” on a row revokes that connection. While the switch is on, the member can reconnect from their AI
  • “Change history” — Switch changes, closed links, and revoked connections are recorded here

Manual API keys and read-only integration keys are managed in Integrations.

Set the name and image of the meeting notes bot that joins Google Meet, Zoom, and Microsoft Teams meetings, and the message it posts to the meeting chat when it joins. The settings you choose here are used for every meeting notes request in the organization.

  • “How it looks in meetings” — Check which name and image the meeting participants will see
  • “Bot name” — Choose the default name or a custom name (up to 60 characters). If the requester’s saved display language is not Japanese, the default is <Name>'s Addness Notetaker (<Name> is the requester’s name), or Addness Notetaker if the name is unavailable. If the language is Japanese or hasn’t been saved, it is <Name>の議事録bot, or Addness議事録bot if the name is unavailable.
  • “Bot image” — With “Change image,” switch to a JPEG or PNG image (up to 5MB and 1024px). “Reset to default image” puts it back
  • “Join chat message” — Set the message that the meeting notes bot posts to the meeting chat when it joins a meeting
    • Choose “Default message” or “Custom message” and save. Check the text participants will see in “How it looks in the meeting chat.” To go back to the default, choose “Default message” and save. If the requester’s saved display language is not Japanese, the default join message is in English: This is {bot_name}. and I joined at {inviter_name}'s invitation to transcribe this meeting and take notes., followed by https://hp.addness.com. If the language is Japanese or hasn’t been saved, the default message is in Japanese and ends with https://hp.addness.com/ja.
    • A custom message can include {bot_name} (the bot’s name) and {inviter_name} (the name of the person who requested the bot). If that name isn’t available, the bot uses the Japanese “組織メンバー” (“organization member”). Other placeholders such as {botname} can’t be saved
    • The message can be up to 500 characters. {bot_name} counts as 60 characters and {inviter_name} counts as 40. Line breaks are allowed, but tabs aren’t
    • The bot sends the message exactly as written and doesn’t translate it into participants’ languages. In Google Meet, the message is pinned in the chat. In Zoom, it isn’t pinned. In Microsoft Teams, the join message isn’t posted
    • Changes apply to requests and recording bookings made after you save. Recordings already booked through the calendar integration send the message that was set when they were booked

Each person sets up the meeting notes bot to record according to their Google Calendar events in “Meeting bot calendar” under My Settings › Integrations (→ Meetings and minutes).

Set the public profile and visibility of your organization on Addness Network. Press “Manage jobs” under “Jobs” to open the management screen for the jobs you post on Network in a new browser tab (→ Addness Network).

The usage report isn’t in the Organization settings list. Open it from “Usage report” in “More” → “Other features.” It shows how much Addness is being used, in numbers through yesterday (updated every morning at 6:00). Who can see it, how to choose the period, and how to export CSV are in Usage report.

Personal settings live under “My Settings”

Section titled “Personal settings live under “My Settings””

Your own settings are in “My Settings.” Anyone can use them, even non-admins. On desktop, open them from the menu on your own icon at the bottom left; on mobile, from the very bottom of the menu (≡) at the top left. Admins can also switch with “Personal” / “Organization” above the list.

  • Complete setup — See the settings you haven’t finished yet (connecting AI apps, Google Calendar and the meeting notes bot, LINE, and more) and continue from there.
  • Profile — Edit your photo, display name, introduction, “What I’m looking for” list, affiliations and roles, and career. You can check how others see it in My Page.
  • Visibility — In “Sharing on Network,” choose your profile visibility, displayed fields, and main affiliation, and review followers. In “Sharing in this organization,” choose who can see diagnosis results. “Time” shows your availability sharing status and a “Change in Time” link.
  • Time — Set your working hours, sharing with organization members, the view from organization members, and how your time is shown to Network contacts.
  • Notifications — Choose “Delivery channels” (email, Slack, and browser notifications) and “What you receive” (such as “Everyone’s activity”) (→ Notifications page). In the mobile app, the browser notifications row doesn’t appear.
  • Display & language — Under “Display,” set the display mode (Light, Dark, System), theme color, goal completion animations, catch-up confetti, and the display when points are gained. Under “Menu bar,” choose the items shown at the top right (desktop only). Under “Language,” set the display language, time format, and voice-input language. Theme color and menu bar apply to this device only.
  • AI — Choose the “Instruction handoff” used when you Addness it (Choose each time / Open in Claude / Open in Codex / Open in ChatGPT / Open in Grok Bot / Copy instruction). In the mobile app, this setting applies only to that device. With “Update AI settings,” the AI you open replaces the Addness part of the settings file on your computer (CLAUDE.md for Claude Code, AGENTS.md for Codex) with the latest version. Before rewriting, it shows you the changes and waits for your OK.
  • Integrations — Set up the following integrations.
    • Google Calendar — Shows today’s events as ToDos on Home. In “Account to read,” choose the Google account whose events are read, and in “Calendars to read,” choose which calendars to read. With “Connect Google account,” you can add a Google account other than the one you sign in with, just for the calendar
    • “Meeting bot calendar” — The first connection has Automatically attend events on and video saving off. Existing connections and reconnections keep saved settings. Set Automatically attend events and Default video saving separately, then use View events in Meeting notes to change attendance and video saving per event (→ Meetings and minutes).
    • LINE — Connect the “LINE Official Account” and “Personal LINE.” You can connect the LINE Official Account from the web. Personal LINE is connected from the desktop app on your computer (→ LINE integration)
    • Messenger — Connect your personal Messenger in the desktop app on your computer (Addness Desktop). The environments where it works are shown in this section
    • WhatsApp — Connect your personal WhatsApp in the desktop app on your computer (Addness Desktop). This section appears only in a version of the desktop app that supports WhatsApp (→ LINE, Messenger and WhatsApp Integration)
    • “Channels your AI can operate” — Lists records of whether your AI (Claude Code, Codex) can operate a channel (X DMs, personal LINE, Messenger, WhatsApp) when a customer journey action needs that channel (→ Customer journeys)
  • Account — Check your email address and set up two-factor authentication under “Login.” In “Joined externally,” you can check the organizations you’ve joined as an external member and stop participating. “Danger zone” contains leaving the organization and deleting your account (→ Deleting your account).
  • Referral & affiliate — Check the proficiency-level gift, the referral link and referral history in “Referral Program,” your application and activity in “Affiliate program,” and more (→ Agency program (certified agencies and sub-agencies))

You can delete your entire organization from “Delete Organization” under Organization settings › General.

Note: All data related to the organization (goals, comments, member information, etc.) can no longer be opened by anyone and cannot be restored (it isn’t erased from the database and is kept with no set time limit). If the organization has a subscription, the subscription also ends on the spot (unlike canceling, where you can keep using it until the next renewal date). However, a subscription started from the iPhone app doesn’t stop, so cancel the App Store subscription from the iPhone’s Settings. The difference from deleting your account is covered in the FAQ.

Before deleting, keep a copy of any data you need, and let all members know about the deletion.

You can delete your Addness account yourself at any time. A deleted account can’t be restored.

How to delete it

  1. Sign in to Addness on the web (www.addness.com) or in the Addness app
  2. Open My Settings › Account (open the Account page). On a computer, open “My Settings” from the menu of your icon at the bottom left; on a phone, from the bottom of the menu (≡) at the top left
  3. Under “Danger zone,” press “Delete your account,” then press “Delete” on the confirmation screen. If you have organizations where you are the only member, first check the box confirming that those organizations will also be deleted. “Delete” becomes available after you type your account name (or your email address if no account name is set) in the confirmation field

In the following cases you can’t delete your account, and the confirmation screen shows the reason.

  • You are the last admin of an organization that has other members — First make another member an admin, or delete that organization (→ Deleting an organization)
  • You are in a huddle — Leave the huddle first

Note: A subscription started from the iPhone app doesn’t stop when you delete your account. Cancel the App Store subscription from the iPhone’s Settings first.

What is deleted

  • The email address you sign in with, the link to your Google or Apple account, and your two-factor authentication settings. Your account is also deleted from our sign-in service (Clerk)
  • Your name, profile photo, and personal settings
  • Your organization memberships. You leave organizations that have other members, and public links you created stop working. Your Addness Network profile is no longer shown
  • Organizations where you are the only member. The whole organization is deleted, and no one can open its goals, comments, chats, and so on (the data itself stays, as described under “What is kept” below). A subscription started on the web also ends on the spot

What is kept

  • What you wrote in organizations with other members (goals, comments, chat messages, files, and so on) — Kept as that organization’s data
  • Your diagnosis results and what you entered during initial setup — Kept with no set time limit for analyzing the service, with your name, email address, and sign-in information removed
  • Payment records — Customer and payment records at our payment provider (Polar) are kept with no set time limit
  • Data of organizations where you were the only member — No one can open it anymore, but it isn’t erased from the database and is kept with no set time limit
  • Activity logs — You can look back up to 30 days on screen and through AI. Records older than 30 days are moved to storage for investigating failures and problems, and kept there with no set time limit
  • Backups — Database backups are deleted automatically after 7 days
  • Server logs — Kept for troubleshooting and security, and deleted automatically within 1 year at most

Except when necessary, such as a request based on law, we don’t look at the contents of data kept as belonging to a deleted account or organization, such as the data of organizations where you were the only member. If you want it completely deleted, contact us through the contact point in our Privacy Policy (applies to accounts deleted on or after October 17, 2026).

If you can’t sign in

If you can’t sign in to delete your account yourself, contact us from Questions about Addness with the email address you registered, and ask us to delete your account.
