Organization roles, goal roles, invitations, removal, and leaving.

Permissions come in “2 layers”
Section titled “Permissions come in “2 layers””Addness permissions have two layers: organization roles and goal roles.
Organization role
Whether they can manage organization settings and billing
Goal role
What they can do on that goal
What's visible is decided by assignment, and higher-level permissions are inherited downward
"Assigning the people you want to show it to" is exactly how you control who can see it
Organization roles: Admin / Member / Guest
Section titled “Organization roles: Admin / Member / Guest”This is the distinction of whether you can manage organization settings, billing, and external integrations and whether you can work on goals.
| Role | What you can do |
|---|---|
| Admin | Operate “Organization settings” (General, Members, Usage, Integrations, Meeting notes bot, Network, and more, including managing the subscription), invite and remove members, and manage the organization |
| Member | A regular member. Can create goals and take charge of them. “Organization settings” isn’t shown |
| Guest | Can view goals and conversations, and reply with comments and chat. Can’t work on goals, use external integrations, or join meetings, and can’t create or change goals from a connected AI either. Free, and not counted toward seats |
- Switch roles from “Role” in the table in Organization settings › Members (admins only). On screen, admins may be shown as people with “Settings management access”
- At least one admin (a person with settings management access) is required, and you can’t remove your own permission
- Making a guest a “Member” adds one seat, and the fee changes according to your contract. Admins, the organization owner, external members, and AI can’t be made guests
Requests from guests: When a guest tries to work on a goal, “Request to become a member?” opens, and they can ask an admin with “Request membership” (up to 3 times in the last 24 hours). Admins choose “Make member” or “Decline” in “Membership request” under Organization settings › Members.
External members: People who join while staying in another organization. When you invite with “Connect with an external organization” turned on for the invite link, the invitee presses “Join as an external member,” chooses their source organization, and joins. They don’t count toward seats, and their use of AI, meetings, and recording is deducted from their source organization’s balance. They can view goals, chat, Drive, and Customers with the same access as regular members. Admins can switch them to regular members with “Make a regular member” in the table (the connection to the source organization is removed, and one seat is added).
Goal roles: owner / editor / viewer
Section titled “Goal roles: owner / editor / viewer”The distinction of per-goal assignment. Unrelated to organization roles, assigned per goal.
| Role | What you can do |
|---|---|
| Owner | The person with final responsibility for the goal (one person). All operations: edit, complete, delete, assign, and even handing off ownership |
| Editor | People who take part in execution (can be multiple). Almost every operation except deleting this goal itself: editing the goal, creating/editing/deleting child goals, assigning members, etc. |
| Viewer | People who can view and post their own comments (can be multiple) |
There’s one place to set this. Use the assignment management dialog opened from the goal row’s ”…” menu → “Assignee & members.”
You can open it from any goal's "…" menu on the row
Changing the owner, adding members, and changing roles are all done in this "Assignment management" dialog
- Changing the owner is a handoff via “Change” in the owner field of this dialog (it can’t be changed from the members list page)
- Adding members is done from “Assign” by searching across the whole organization and choosing. People not in the organization can be invited right there with a goal invite link (only admins can create invite links)
- Changing a role or removing an assignment is done from each member’s role badge
Who can see how much
Section titled “Who can see how much”Visibility is also decided by this assignment.
- You can see a goal if you’re assigned to that goal itself or to any goal above it. Since a higher goal’s permissions are inherited by everything beneath it, being assigned to a higher goal lets you see its entire sub-tree
- A goal you’re not assigned to anywhere isn’t visible even to members of the same organization. It doesn’t appear in the tree or in search
- When the same person is assigned in multiple places, the strongest role (owner > editor > viewer) applies
People you invite can’t see any goals until they’re assigned to one. If you choose a goal in the invite link, they’re assigned to that goal as soon as they join. What organization admins can see is covered in Security & Data Handling.
Request access to a goal you can’t see
Section titled “Request access to a goal you can’t see”If you open the link to a goal you can’t see, “You do not have access to this goal” appears. Press “Request access” and the request goes to the goal’s owner (or, if there is none, to the owner of the nearest higher goal).
- The person who requested: “Access requested” appears. The request stays even if you close the screen, and the result arrives as a notification
- The person who received the request: The notification reads “A goal access request has arrived.” From “Review request,” choose “Approve” or “Decline.” The goal’s “Assignee & members” screen also shows ”◯ people asked to view this goal.”
- When approved: You can view and comment on that goal and the goals beneath it. You don’t get permission to edit, complete, or change the assignee
If “Access requests are currently unavailable for this goal.” appears, there is no one who can receive the request. Ask the goal’s owner or an organization admin directly.
Inviting members
Section titled “Inviting members”There are three entry points: “Invite” on the members list page / “Invite” in Organization settings › Members / a goal’s “Invite members to this goal.” Whichever you use, “Invite Members” opens, and you invite from the “Invite link” and “Email” tabs.
Only admins can create invite links and invite by email. When someone who isn’t an admin opens it, “Admin permission is required to create invite links” is shown, and they can ask an admin from “Request in DM.” Admins can use Addness member invitation at the top of the “Invite Members” window to have the AI propose who to hand which work to, prepare the goal to hand over and the invite link, and draft the invitation message. The AI sends it only after you give the OK (→ Members list page).
Link invitation
Section titled “Link invitation”In the “Invite link” tab, press “Create invite link,” then copy the link you get and send it to the other person. Before creating it, you can decide the following (change the invitation goal, permission, expiry, and max uses with “Edit invite link settings”).
- Invitation goal and permission (viewer / editor / owner): the person is assigned to that goal upon joining. If you choose owner, the person who joins becomes that goal’s owner. The owner of the top-level goal can’t be changed by invitation. An owner-permission link can be used only once for safety. When the invite window opens, “editor” is already selected.
- “Invite as a guest (free)”: When turned on, the person joins as a guest (their permission becomes viewer)
- Expiry (1 / 3 / 7 / 14 days) and max uses (unlimited is possible)
- “Connect with an external organization”: When turned on, the person joins as an external member while staying in their other organization. It can’t be turned on together with “Invite as a guest (free)”
- “If you receive implementation support from an agency”: Enter the email address of the agency providing your implementation support. Not available when inviting as a guest or external member
Invite members
Decide the expiration, number of uses, invited-to goal, and permission before creating it
You can create an invite link with "who, to which goal, and with what permission" all decided. Once it's created, just copy it and send it to the other person
Email invitation
Section titled “Email invitation”In the “Email” tab, enter the addresses and press “Send Invitation.” Up to 20 at a time (only 1 when inviting with owner permission).
Managing after inviting
Section titled “Managing after inviting”- People invited by email appear in the table in Organization settings › Members with an “Invited” badge and their expiry shown. Resend and cancel are here too
- Issued invite links can be checked for usage count, expiry, and active state in “Invite links” in Organization settings › Members, and disabled
Removing a member from the organization
Section titled “Removing a member from the organization”- Location: “Remove” on the target row in the Organization settings › Members table (admins only; you can’t remove yourself or the organization’s owner)
- There’s a two-step confirmation, and it can’t be undone. When executed:
- That member’s assignments are all removed
- Goals they owned are automatically handed off to the parent goal’s owner (including completed ones)
- For an external member, the connection to their source organization is also removed (they weren’t counted toward seats, so the number of seats doesn’t change)
Leaving the organization yourself (withdrawal)
Section titled “Leaving the organization yourself (withdrawal)”You can withdraw from “Danger zone” in My Settings › Account. All your assignments are removed and you lose access to the organization’s data (two-step confirmation; you’re automatically signed out after withdrawal).
Goal visibility and sharing
Section titled “Goal visibility and sharing”- Goals are private to outside the organization. To share one with people outside the organization, the goal’s owner creates a share link from “Work on this goal with someone outside the org” in the ”…” menu (on Home, it’s inside ”…” → “More actions”). Without inviting them to the organization, you can share just that goal and everything beneath it with people outside the company
- Choose what people who know the link can do: “View only” or “View and comment.” Commenting requires signing in, and they can’t edit the goal. You can stop sharing any time with “Stop Sharing” (→ Goal detail page)
- The diagnosis profile defaults to visible to members of the same organization. Diagnoses you don’t want to show can be individually hidden from “Diagnosis profile visibility” in My Settings › Visibility
